Where to find Swim Meet Listings and Upload Entries & Results - Oct 6 update

October 21 update

  • Instructions for how to get results from a meet.
    • 1. Go to Meet Entry
    • 2. Expand the Search/Filter option
      • Enter part of the meet name under "Name of Meet"
      • Select "Upcoming and completed meets"
      • Click Search button
      • Download the results (red arrow)

October 18 update

  • Results are now available via REMS for visiting clubs under Meet Entry. You will see a red download arrow for available results.
  • Results for this season will no longer be posted on a separate spreadsheet. 2024-25 results will remain available HERE
  • Complete PoolQ zip files can be submitted through REMS.

October 8 update

  • 🥳 THIS IS NOW FIXED "Incomplete Entries" error means you have entries with NT (No Time). Custom time with best guess all NT times to allow REMS to validate registration and properly indicate the number of swimmers in your entry file.

October 6 update

  • (RESOLVED)Results file are not yet available via REMS for visiting clubs. Swim Ontario has created a temporary results page as we wait for this feature. Results from 2025-26 & 2024-25 seasons are available HERE
  • Hy-Tek Entry Files
    • "Invalid File" error most likely means you have a swimmer whose ID has additional invisible ​characters that need to be removed. Contact Nicole with the entry file to identify the swimmer(s). Avoid copying and pasting Swimmer IDs into Hy-Tek.

September 28 update

  • THIS IS NOW FIXED. Avoid NT entries for Hy-Tek entry files. Custom time with best estimate.

September 26 update

Meet entry files accepted by REMS

  • Hytek files (full zip file including the CL2 and HY3 file)
  • SD3 files
  • (fixed and no need to extract SD3 file) If you are uploading files from PoolQ, upload just the SD3 file extracted from the zip file

September 18 update

Before beginning to submit entries, we recommend that Club Admins do a ROSTER Check via the Canadian Swimming Utilities (CSU).  This will identify name, gender, DOB, club mismatches as well as Swimmer ID errors and registration errors.

This feature is only available to REMS Admin Users.  And will only validate ROSTER files from their club (i.e Team Unify, Team Manager, PoolQ roster exports).  Entry file validation needs to be done via REMS.  

The login details are the same as their REMS Admin account.  The link is HERE to access the CSU.  The Roster Check is not available for those using public user account login details.

In addition, Swim Ontario will need to update the club admin accounts that can access the CSU on a daily basis.  Any new accounts added during the day will not be able to access the CSU until the next day, after the daily update

Addtional Note: The CSU is not live, changes made in REMS will not be reflected until the next update. Watch the landing page for the latest update.

September 17 update

The REMS Meets Module has been released by Swimming Canada. Currently coaches and/or club entries coordinators can access meet listings on the Swimming Canada Upcoming Meets webpage HERE as well as through a REMS Administrative Account and selecting Meet Entry.

From those two areas, meet packages and event files can be downloaded.

REMS Admin Account

To upload entries, the Club Entries Coordinator will require a REMS Club Admin account. If your Club Entries Coordinator is a coach, the REMS Admin account is different from their coaching public user account.

If your Club Entries Coordinator does not already have an administrative account in REMS , they will need to request one from their Club Registrar. Their access can be limited for them to upload entries only.

Club Registrars can access the setup menu in the revised Account Setup Guide found HERE.

If they already have an administrative account, check to make sure they have the menu boxes necessary for entries upload (at minimum they require the “Meets Upload” box ticked under Meet Management which will activate the Meet Entry option).

We recommend that the Username for Club Entries Coordinator (Team Manager) Admin Account be similarly named without spaces in the name field, and has both function and club code.

TM_fullname_CLUBCODE

Do not put their names in the field that says “Name” when setting up the account. That field is their username. Spaces will be a challenge when they try to login.

Entries Upload Process

To upload entries the Club Entries Coordinator must login to their REMS Admin account via link: https://swimming.canada.sportsmanager.ie/maint.php and select Meet Entry.

We ask that Club Entries Coordinators refer to the REMS Knowledge base user guide for uploading entries before attempting to upload entries. The guide has all the information they will need.

In addition, they will need to work closely with the Club Registrar and person at the club that is responsible for managing the roster in the team management system (Team Unify, Team Manager, PoolQ, Commit etc.) to ensure entry validation errors identified in REMS are corrected in either REMS or the team management software.

Most validation errors can be corrected internally within Club Administrators (i.e., misspelling of swimmer names, date of birth errors etc.) and do not require support from Swim Ontario. Entries are not to be emailed to meet managers. All entries must be done through REMS including for In House meets. Meet Managers will be instructed to refer back to this page.
